NexusAI add-on · AI Caller

The AI caller that never lets a lead go cold

The AI Caller answers every call to your business, day or night. It phones new leads within minutes of their enquiry and calls customers back when a quote sits unsigned. It runs on NLPearl voice agents and is wired into NexusCRM with n8n, so every call lands on the right lead with a summary and transcript. Nobody has to type it in.

RUNNING IN PRODUCTION: this same NLPearl + n8n stack already places 800–1,000 calls a day for a NexusAI GTA client. It's the setup we run every day, and you get the same one.

Three jobs, one caller

What does the AI Caller do?

It covers the three calls contractors lose money on: the one you can't pick up, the lead you don't call back fast enough, and the quote nobody chases.

01 · INBOUND

Answers every call

At 7 p.m., on a Saturday, or while you're on a roof, it picks up in a natural voice. It answers questions about your service area and what you install, then qualifies the job: address, scope, timeline. The lead is in NexusCRM before the caller hangs up.

02 · OUTBOUND

Calls new leads in minutes

When a website form or Meta Lead Ad comes in, the same automation that creates the lead also queues a call. The customer hears from you while they're still comparing contractors, not the next morning.

03 · FOLLOW-UP

Chases unsigned quotes

A quote goes out and nothing comes back. After the number of days you choose, the AI Caller phones the customer to answer questions and find out what's holding them up. The moment they accept, the pending call is cancelled.

Inbound

What happens when a customer calls after hours?

The AI Caller answers, has a real conversation, and hands NexusCRM a qualified lead with the whole call attached. By the time you check your phone in the morning, the lead is already in your follow-up list for today.

  • Natural conversation: it handles interruptions, "actually, it's the backyard too," and follow-up questions, in 20+ supported languages
  • Answers from your knowledge base: service area, what you do and don't install, how quoting works, warranty basics
  • Qualifies in your trade's terms: square feet of interlock, linear feet of fence, tonnes of asphalt, rooms in a reno
  • Live transfer: callers who ask for a person, or have an urgent job, go straight to your cell or office line
  • Logged automatically: summary, transcript and collected details land on the lead, tagged "AI Caller" as the source

Outbound & follow-up

Why does calling a lead in minutes matter?

A homeowner who fills in a form usually sends the same request to two or three other contractors. The first one to call gets the site visit. The AI Caller makes that call while the form is still open on their phone, and it keeps calling back until the quote is signed or lost.

  • Speed-to-lead: web forms and Meta Lead Ads trigger a call as soon as the lead lands in NexusCRM
  • Retries you control: no-answer retries follow the schedule and calling hours you set
  • Quote follow-up: NexusCRM's "quote emailed" webhook starts the timer, and "quote accepted" cancels the call
  • Second chances: a lead marked lost can get a friendly re-engagement call weeks later
  • Site-visit windows: it collects when the customer is free, and your rep confirms the booking in NexusCRM

Under the hood

How is the AI Caller wired into NexusCRM?

Three systems, each doing the job it's best at. NLPearl talks, n8n moves the data, and NexusCRM keeps the record. Nothing depends on someone remembering to copy notes over.

NLPearl: the voice

Natural, low-latency AI voice agents for inbound lines and outbound campaigns. It follows your script, pulls answers from your knowledge base, transfers calls live, and writes a post-call summary and transcript.

20+ languages

n8n: the wiring

Automation workflows listen for call events from NLPearl and webhooks from NexusCRM. They create leads, queue calls, start follow-up timers and cancel calls that are no longer needed, with every run logged.

event-driven

NexusCRM: the record

Leads arrive through hashed API keys with duplicate-proof intake. Signed HMAC webhooks tell n8n when quotes are emailed, accepted or lost. Your pipeline, follow-ups and reporting stay in one place.

Retried automations never create duplicates: NexusCRM intake uses idempotency keys, and its intake log shows exactly what each automation sent.

Built for contractor phone lines

Which contractors get the most from an AI caller?

Any trade where the phone rings hardest while the crew is busiest. Each trade page shows the AI Caller working in that trade's language:

Guardrails

How do you keep an AI caller on a leash?

You decide what it says, who it calls, and when it hands a call to a human. Every call is recorded and summarized, so you can check its work.

  • Says it's an AI: it introduces itself as an AI assistant for your company
  • Consent-based outbound: it only calls people who contacted you or asked for a quote, never cold or purchased lists
  • Do-not-call respected: blocked numbers are excluded from every campaign
  • Your script, approved: we write it with you, and nothing goes live until you've signed off
  • Calling hours and spend caps: outbound calls stay within your hours and pause at your monthly cap, while inbound calls are always answered
  • No pricing promises: it collects scope and explains how you quote, and your quotes still come from NexusCRM

What setup buys

What's included in AI Caller setup?

Setup is where the AI Caller learns your business. You don't hand in a form. We build it with you, test it and tune it.

01

Script & knowledge base

Your services, service area, what you won't take on, how quoting works and your warranty basics, written into the script and signed off by you.

02

Number & routing

A new local number or forwarding from your existing line, plus live-transfer rules for urgent calls and callers who want a person.

03

n8n workflows

The call-to-lead, speed-to-lead and follow-up automations wired to your NexusCRM instance, then tested end to end.

04

Qualification fields

The questions your estimator actually needs answered, in your trade's units, mapped onto the lead record.

05

Test calls

We call it the way your customers will: price shoppers, "wrong trade," urgent jobs, callers who talk over it. We fix what breaks before launch.

06

Launch tuning

During the first weeks live, we review real call summaries and tighten the script where callers got stuck.

The math

How does an AI caller compare with a receptionist?

A receptionist is still great for the office. But the phone rings at night, on weekends and in the middle of spring rush, and those are the calls a receptionist isn't there for.

Straight answers

AI Caller questions, answered

What is the NexusAI AI Caller?

The AI Caller is a voice agent that handles three kinds of calls for your business: it answers inbound calls 24/7 and qualifies the caller, it phones new web-form and Meta Lead Ads leads within minutes, and it follows up on quotes that haven't been accepted. It runs on NLPearl voice agents and is wired into NexusCRM with n8n automations, so every call ends up as a summary and transcript on the right lead.

How does the AI Caller connect to NexusCRM?

Through n8n. When a call ends, NLPearl sends the call summary, transcript and the details it collected to an n8n workflow, which creates or updates the lead in NexusCRM through a hashed API key with idempotency keys, so a retried automation still produces exactly one lead. In the other direction, NexusCRM's signed webhooks — quote emailed, quote accepted, lead lost — tell n8n when to queue a follow-up call and when to cancel one. More on the CRM side on the features page.

How much does the AI Caller cost?

Three plans, in CAD: Answer is $297/month with 300 talk minutes and $750 setup; Answer + Follow-Up is $597/month with 1,000 minutes and $1,500 setup; Growth is $1,197/month with 2,500 minutes and $2,500 setup. Extra minutes are $0.49, $0.39 and $0.33 per minute respectively. Only connected talk time counts — unanswered and busy dials are free. Businesses making 300 or more calls a day get volume pricing from $0.29 per minute. Plans are month-to-month, annual prepay earns two months free, and NexusCRM Elite clients have the setup fee waived. NexusCRM's own flat pricing is separate.

Will callers know they are talking to an AI?

Yes. The AI Caller introduces itself as an AI assistant for your company. The conversation itself is natural — it handles interruptions and follow-up questions — and any caller who asks for a person, or whose call is urgent, is transferred live to you or your office. The call summary is still logged to NexusCRM either way.

Is AI outbound calling allowed in Canada?

We set the AI Caller up for consent-based calling only: it phones people who contacted you or asked you for a quote, never purchased or cold lists, and numbers on your do-not-call list are blocked from every campaign. Canada's telemarketing rules — including the CRTC Unsolicited Telecommunications Rules and the National Do Not Call List — still apply to your business, so we review your outbound use case with you during setup.

Can the AI Caller book site visits into my schedule?

It captures the caller's preferred days and times for a site visit and puts them on the lead, and your rep confirms the booking in NexusCRM, which then syncs to Google Calendar and sends the invite. Customer self-booking straight into the schedule is on the NexusCRM roadmap, so today a person confirms every booking — which also stops double-booked site walks.

Every call answered. Every lead logged.
