What is NexusCRM?

NexusCRM is an AI-powered CRM and field operations platform for service businesses — contractors, landscapers, plumbers, electricians, HVAC, real estate agents, and accountants. It runs your whole pipeline: lead intake, quotes with online acceptance, invoicing, crew scheduling, live job profitability, payroll, and commissions, with AI built into every step. What does NexusCRM replace?

For most teams, NexusCRM replaces the quoting spreadsheet, the whiteboard schedule, the invoice template, the shared inbox, and the group chat — plus a per-user CRM subscription if you have one. Leads, quotes, invoices, projects, schedules, job costs, and crew pay all live in one system, so nothing is retyped and nothing falls between tools.

Does NexusCRM work in the field on a phone?

Yes. NexusCRM is a mobile PWA — it installs from the browser on iOS and Android with no app store needed. Field crews get purpose-built mobile views: today's jobs, site details, photo uploads, receipt capture, and hour logging. Reps can record a site walk on their phone and have AI draft the quote before they leave the driveway.

Can my customers accept quotes and see their project online?

Yes. Customers get a clean, branded quote page they can open on their phone and accept with a tap — the accepted version is locked as an immutable signed snapshot with a timestamp. They also get a private portal link showing project status, photos, documents, and invoices. Internal costs and margins are structurally excluded, so they can never leak to a customer.

Does NexusCRM handle payroll, crew pay, and commissions?

Yes. Crew and subcontractor ledgers support four different pay models, and sales rep commissions are tracked per job. Everyone can self-serve the answer to "what am I owed," and payouts reconcile against the same live job P&L your profitability reports use — so pay, costs, and margins always agree.

What can the built-in AI assistant actually do?

The assistant has roughly 73 tools it can use on your behalf — looking up customers, drafting quotes, recording payments, booking meetings, updating jobs. Every tool is permission-aware, so it can only do what the logged-in user's role allows. Actions that change data require your confirmation first, and every AI action lands in the audit trail with before-and-after values.

How does voice-to-quote work?

Record a site walk on your phone — just talk through what you see. NexusCRM transcribes the recording, matches the customer, and drafts a complete quote with line items and prices grounded in your company's own historical quotes, not generic industry guesses. You review, tweak, and send. Most reps go from recording to a customer-ready quote in minutes.

What is the AI Bid Advisor?

The Bid Advisor sanity-checks a quote before it goes out. It compares your pricing against your own price sheets and up to 25 similar completed jobs, then flags whether the margin is in range, thin, or unusually high. It's the experienced estimator looking over your shoulder — grounded in your real job history, not industry averages.

Can NexusCRM read receipts automatically?

Yes. Photograph a receipt and Claude-vision AI extracts the vendor, items, amounts, and tax, then posts them as itemized expenses on the right job's P&L. No more shoebox of paper or end-of-month data entry — material costs land on job profitability the day they happen, so you see real margins while the job is still running.

What can the AI not do?

The AI never acts silently. It cannot change data without confirmation, cannot exceed the logged-in user's role permissions, and every action it takes is written to the audit trail. It won't invent prices — quote drafts are grounded in your historical data. And to be direct about limits: it can't yet text customers, because SMS is still on the roadmap.

How much does a CRM for contractors cost?

Mainstream contractor CRMs run from $49 to $500+ per month, usually plus $29–$35 per user, with AI as a paid add-on. Are there per-user fees or AI add-on charges?

No, never. Every NexusCRM tier includes unlimited users and every AI feature at one flat monthly price. What does the one-time implementation fee cover?

Everything needed to go live: provisioning your dedicated private instance, applying your branding to quotes, invoices and the customer portal, migrating your customers and price book, connecting Google Calendar and lead sources, configuring roles and pay models, and training your team. You get a working system with your data in it — not an empty login and a documentation link.

Can I finance the implementation fee?

Yes. Financed implementation is available on every tier. On Pro, for example, the $5,500 implementation can be spread at $249/month over 24 months instead of being paid up front. Ask about financing when you book a demo and we'll structure it alongside your monthly subscription.

Do I get a discount for paying annually?

Yes — prepay a year and get 2 months free, which works out to roughly 17% off the subscription. On Pro that saves $850 per year; on Elite it saves $1,590. Annual prepay applies to the monthly subscription; the one-time implementation fee is separate, and financeable.

What is the contract term?

The initial term is 12 months, which covers implementation, training, and the payback period on setup. After that, NexusCRM runs month-to-month — no long-term lock-in. You always own your data and can export it in full at any time, so leaving is genuinely possible. That keeps us honest about earning your renewal every month.

Implementation & Migration

How long does CRM implementation take?

About two weeks for most businesses — live in two weeks, not two months. That's from kickoff to your team quoting real jobs in the system: instance provisioned, branding applied, data migrated, calendar and lead sources connected, and training done. Larger migrations or custom Elite work can add time, and we'll tell you up front if yours will.

What happens during the two-week implementation?

Week one: we provision your private instance, apply your branding to quotes, invoices and the portal, import your customers and price book, and connect Google Calendar and lead sources. Week two: we configure roles and pay models, run training for office and field crews, and shadow your first real quotes. You go live with your data already in the system.

Can you migrate my data from spreadsheets or another CRM?

Yes — migration is part of every implementation. We import customers, contacts, price books, and open work from spreadsheets or from exports out of Jobber, Housecall Pro, and other platforms. Pro and Elite include white-glove migration, where we do the cleanup and mapping for you. You review everything in the system before go-live.

Is training included for my team?

Yes, for unlimited users — since there are no per-seat fees, there's no reason to leave anyone out. Training covers office staff (pipeline, quoting, invoicing, scheduling) and field crews (mobile views, photos, receipts, hours). Because the AI assistant answers questions right inside the app, most teams need surprisingly little follow-up training.

Security & Data

What does "dedicated private instance" mean in plain words?

It means you get your own copy of NexusCRM with its own database — like having the building to yourself instead of renting a floor in a shared tower. Your data is never pooled with other companies', a problem in someone else's account structurally can't touch yours, and your instance can be hosted in Canada.

Is my data hosted in Canada?

Canadian hosting is available for every NexusCRM instance, supporting PIPEDA-aligned data-residency requirements — useful if you bid on municipal, institutional, or enterprise work that asks where data lives. Because each client runs a dedicated instance, residency is set per client rather than dictated by a shared platform's location.

Who on my team can see what?

NexusCRM has four roles — Owner, Rep, Crew Lead, and Crew — and every screen, record, and AI tool respects them. Crews see their jobs and hours, not company financials. Reps see their pipeline and commissions. Only owners see full P&L and payroll. The AI assistant inherits the same limits as the person using it.

What happens if someone deletes a record by mistake?

Nothing is lost. NexusCRM uses soft delete — deleted records go to a recoverable state and can be restored, not destroyed. And every change in the system, whether made by a person or by the AI, is written to an audit log with before-and-after values, so you can always see who changed what, when, and what it said before.

Do I own my data, and can I export it?

Yes and yes. Your data is yours — it lives in its own database on your dedicated instance, and you can export it in full at any time, including after you leave. CSV exports for your bookkeeper are built into day-to-day use, and a complete export is part of offboarding if you ever go.

Support & Roadmap

What support is included with NexusCRM?

Every tier includes support from the Toronto team that builds the product — no offshore ticket queue. Pro adds priority support; Elite adds a same-business-day SLA, quarterly business reviews, and 4 custom development hours per month. Can NexusCRM text customers or take card payments online?

Not yet — SMS text messaging and online card payments are both on the roadmap and shipping soon. Today, customer communication runs on automated email with open and click tracking, and invoices support payment schedules with payments recorded in the system. If SMS or card processing is a dealbreaker, tell us when you book a demo and we'll share timelines.

Does NexusCRM sync with QuickBooks or Xero?

Not yet — QuickBooks Online sync is a headline roadmap item, with Xero under consideration after it. In the meantime, clean CSV exports cover your bookkeeper's needs, HST is tracked natively (including recoverable HST on job costs), and webhook integrations with Zapier and n8n can push data to other tools today.

Can agencies and consultants resell NexusCRM?

Yes. Agencies, IT consultants, bookkeepers, and marketing firms serving trades and service businesses can resell NexusCRM through the partner program. You bring the client relationship; we provide the platform, the implementation muscle, and ongoing product development. How do the partner tracks work?

There are two tracks. Referral partners introduce clients and earn a commission when the deal closes — no delivery work on your side. Reseller partners own the client relationship and sell NexusCRM as part of their own service offering, with margin on the subscription while our team handles the platform and implementation.
